Job Description
Inventory Officer
Are you passionate about creating positive change and improving access to clean energy? We are looking for an enthusiastic, hardworking and dedicated Inventory Officer to join our team. The primary duties will be to ensure daily inventory system audits, support the inventory officer with reconciliations ie Invman, Inventory sheets, Salesforce inline with procurement and supply chain procedures.

We provide clean energy solutions, including the ACE One, to households living on $2/day through an affordable microloan model.
The role we are currently recruiting for is Inventory Officer. As we are starting to build and expand our business in Kenya, we are looking for an enthusiastic, hardworking and dedicated Inventory Officer to manage the inventory both at the warehouse and production. The primary duties include ensuring daily inventory system audits, supporting the inventory officer with reconciliations ie Invman, Inventory sheets, Salesforce inline with procurement and supply chain procedures in all the three office locations in Mombasa, Kilifi and Kwale.
Job Summary: We are seeking a dynamic and dedicated Inventory Officer to join our team. The Inventory Officer is responsible for all stock in the Invman. Ensure daily inventory system audits, support the inventory officer with reconciliations ie Invman, Inventory sheets, Salesforce inline with procurement and supply chain procedures.
Key Responsibilities:
Inventory Management
- Maintain accurate records of stock levels for stoves, briquettes, spare parts, and raw materials.
- Monitor stock movement between factory and regional offices.
- Performing month end stock reconciliation for the factory, branch stock balances and reconciling physical stock with system records.
- Ensure that inventory records are updated in real time and reflect actual movements.
- Identify and report on stock variances, damages, expiries, or slow-moving items.
- Coordinate with field and response teams to plan replenishment and returns.
- Oversee proper storage practices to minimize damage and loss.
Procurement
- Source, negotiate, and purchase factory related goods and services based on ACE’s procurement policy.
- Prepare and issue Requests for Quotations (RFQs), Purchase Orders (POs), and contracts.
- Maintain a database of approved suppliers with evaluations on cost, reliability, and quality.
- Track and follow up on supplier deliveries to ensure timely receipt of goods.
- Ensure all procurement is transparent, documented, and audit-ready.
Reporting and Documentation
- Generate regular inventory and procurement reports (daily, weekly, monthly).
- Maintain procurement and inventory documentation and files (e.g., delivery notes, GINs, requisition forms, GRNs).
- Update procurement and stock data in digital platforms (e.g., INVMAN, procurement Google Sheets, saleforce, etc.).
- Assist with audit processes related to inventory and procurement
- Ensure Weekly and/or Monthly procurement reports are timeously submitted to the Finance Manager
- Identify inefficiencies in the ordering systems and develop solutions to use within the organization, and communicate initiatives to the Production Manager for continuous improvement on procurement practices.
- Be highly knowledgeable on Invman and Salesforce reconciliation to ensure they reconcile, assisting the inventory officer in the factory with day to day and month end reconciliations to facilitate month end inventory closure is accurate and on time
- Assisting the Finance and Production Manager in identifying obsolete stock, for disposals.
- Responsible for ensuring Budget lines for line items are not exceeded, procurement requests are in line with monthly budgets, and informing the Finance Manager of any variances against OPEX and CAPEX against the budgets during requests for departmental procurement requests.
- Any other work as assigned by the Production and Finance Manager to ensure smooth operations of the procurement and consumables supply chain.
- Any other activities determined necessary by management
We’d really like to hear from you if you have:
- BS degree in Procurement and supply chain management, logistics or business administration
- Experience in Procurement and Stock Management, supply chain, accounting (added advantage)
- Interpersonal skills, communication skills
